GRADUATE RESEARCH ASSISTANT SCHOLARSHIP (GRA)
Application Requirements

1. Application is open to all Malaysian and International citizens who are already offered to study in a Masters (by research) or PhD programme at UPM.

2. Application is also open to UPM students who are currently enrolled in a Masters (by research) or PhD programme. However, they need to fulfil the following condition:
i) Registered as a UPM student and the current status of study must be in “Good Standing”.
ii) A student with “Probation” status or defers his/her study is not eligible to apply.
3. Applicant must be approved by the Advisor/Chairman of the Supervisory Committee and/or Head of Research Project and Dean of Faculty/Director of Institute where the research grant is allocated.
4. This scholarship is funded by the Supervisor/Chairman/Member of the Supervisory Committee’s research grant. The research grant must have a balance of at least RM10, 000.00 at the time of appointment of GRA. For newly approved research grant or where the money has yet to be transferred to the research grant account,applicants must also attach the following documents with their application:
i) Copy of Research Grant Approval Letter;
ii) Validation letter from the Head of Research Project stating when the
research money is estimated to be received.

5. The number of students who can be sponsored under this grant is subjected toconditions set by the sponsor (research grant holder).
6. A successful applicant is not allowed to receive any other financial support or scholarship/fellowship, and should not be in any type of employment.
7. Student who defer his study or when their appointment as Graduate Research Assistants is terminated before the end of a semester, he will be required to pay fullfees for that semester.
8. GRA Extension Application must be made every semester. Students who fail to do so will be required to submit a new application in the following semester.
9. Applicant’s number of semesters must not exceed:
i) Masters : 6 semesters.
ii) PhD : 10 semesters.

Terms of Award:
10. Successful applicant will be given monthly allowance (depending on total number of hours allocated for assisting in teaching) as follow:
i) RM1,125.00 : 3 teaching hours per week.
ii) RM1,300.00 : 4 teaching hours per week.
iii) RM1,500.00 : 6 teaching hours per week.
11. Successful applicant also will be exempted from paying tuition fee. The exemption amount are as follow:

Responsibilities of GRA Students
GRA students are required to assist in teaching/tutoring/supervising final year undergraduate students and/or as demonstrators for a period of time as stipulated in the term no. 10.

Application Requirements:

Provisions of the Fellowship:

The successful applicant will be:
i) provided with a monthly stipend of RM1,700.00 for a PhD programme and RM1,500.00 for a Masters programme;
ii) exempted from paying tuition fee which will be borne by the University.

Conditions of Sponsorship:
1. The fellowship shall be immediately withdrawn if a recipient is found to be also a recipient of any other form of financial support or scholarship/ fellowship or engaged in any type of employment during the tenure of the fellowship.
2. A recipient (of the Fellowship) who defers his/her study shall have the monthly stipend withdrawn.
3. A recipient shall assist in the teaching/tutoring/supervising final year students and/or laboratory classes for a period of 4 hours/week (for Masters programme) or 6 hours/week (for PhD programme) including during semester breaks.
4. A recipient is required to conduct his/her research in Malaysia only.
5. A recipient on a Masters programme is required to submit at least 1 cited journal article while a recipient on a PhD programme is required to submit at least 2 cited journal articles before completing his course of study (articles must be accepted for publication). The recipient who fails to fulfil this requirement will be considered to have breached the contract.
6. A recipient is required to sign an Intellectual Property Agreement with the University.
7. A recipient is required to record his/her daily attendance at the University. At the end of every month, the record must be verified by the Advisor/Supervisor and must be submitted not later than the 7th day of the following month to theDeputy Dean (Postgraduate)/Deputy Director (Postgraduate) of the Faculty/Institute.
8. A recipient is only allowed to take leave for a maximum of 2 days per month with the prior approval of his/her supervisor. Any recipient who fails to record his/herattendance at the University or takes leave for more than 2 days/month, with or without the prior approval of his/her supervisor, shall have his/her allowance deducted according to the rates shown below:
a. Master – RM68.00/day
b. PhD - RM77.00/day
9. Any recipient who fails to record his/her attendance at the University or who is on leave for more than 10 days per month, will have his/her allowance for that month not be paid.
10. A recipient whose study has been upgraded to a PhD programme is entitled to the provisions provided for PhD students.
11. A recipient who fails to comply with the terms in the agreement shall be considered to have breached the contract and will be required to repay all costs and expenses due to the University including tuition fees that were previously waived.

SPECIAL GRADUATE RESEARCH ALLOWANCE SCHEME (S-GRA)
1. This scheme is open to all postgraduate students (by thesis) who are currently registered as a postgraduate student at UPM.
2. Applications for this scheme can be made at any time throughout the semester provided the student is registered for that semester.
3. Each application must be supported by the Advisor/Chairman of the Supervisory Committee and/or by the Head of Research Project and by the Dean of Faculty/Director of Institute where the research grant is allocated.
4. This scheme is funded by the Supervisor/Chairman/Member of the Supervisory Committee’s research grant. The number of students who can be sponsored under this grant is subjected to the conditions set by the sponsor.
5. The amount of research grant must be sufficient to pay the monthly allowance throughout the period of appointment.
6. Applicants who receive scholarship/financial assistance or employed with a monthly emolument of less than RM1, 000.00 are also eligible to apply for this scheme. However the total amount of stipend plus monthly emolument shall not exceed RM1, 500.00/month for Master students and RM1700.00 for PhD students. Applicants are responsible to provide written evidence of emolument received to the School of Graduate Studies together with the application form.
7. Appointment under this scheme will take effect once an official offer letter is issued by the School of Graduate Studies. Any application to backdate the date of appointment will not be entertained.
